Privacy policy

Adelaide IT Solutions (“AITS”, “we”, “us”) is an Adelaide-based managed IT business. We look after the computers, servers, networks and accounts of businesses that trust us with them, so we take personal information seriously. We handle it in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).
This policy covers personal information we collect through this website and while providing our services. It is written in plain English. If anything is unclear, ask us.
What we collect
When you contact us. Your name, company, email address, phone number, industry, the services you are interested in and your message. We also record the time you sent it and your internet (IP) address, so we can spot misuse of the form.
When you are a client, or work for one. Contact details for you and your team, billing details, and records of our work: support requests, notes, phone calls, text messages and time spent. To look after your systems we also hold technical details such as usernames, device names and network information.
Information on the systems we manage. Looking after your IT means we may be able to see personal information stored on those systems, such as your customer, patient or staff records. We access it only as far as the work needs, never use it for our own purposes, and treat it as confidential. It remains your information.
When you visit this website. We do not use analytics or advertising trackers. The contact form uses a single cookie to protect against spam, and Cloudflare Turnstile to check that the person sending it is not a bot. Turnstile processes technical details such as your IP address and browser information. If you choose to book a meeting, you are taken to our Microsoft Bookings page, which Microsoft runs as part of Microsoft 365.
Please do not send health or other sensitive information through the contact form. If a job needs it, we will arrange a secure way to share it.
How we collect it
Mostly directly from you: through this website, by email, phone or text, or in person. We also collect information from your employer when they are our client, and from the monitoring and security tools we run on the systems we manage (for example, alerts about a device or a suspicious sign-in). You can make a general enquiry without giving your name, but we need contact details to reply.
Why we use it
- To respond to your enquiry.
- To provide, support and bill for our services, including service notices and appointment reminders by email or text.
- To keep the systems we manage secure, including investigating threats and restoring data.
- To manage our relationship with you and improve our services.
- To meet our legal obligations, such as tax record-keeping.
If you are a client, we may occasionally email you news about our services. Every such email lets you unsubscribe, and doing so never affects your support.
Who we share it with
We do not sell or rent personal information. We share it only where needed to do what you have asked, with:
- Partners delivering a service you requested, such as R&N Data for internet and phone services.
- Service providers who help us run our business and yours, including Microsoft 365 (email and documents), Xero (accounting and invoicing), NinjaOne (device management and backup), Huntress (security monitoring), Cloudflare (website protection) and our SMS provider.
- Domain registries and registrars, when you register or renew a domain through us, as the rules for domain names require.
- Government or law enforcement, only where the law requires or allows it.
Overseas
Our own systems are in Australia. Our service management platform runs on servers in Adelaide, and cloud backups are stored in Australia (Sydney). However, several of our service providers are based overseas, mainly in the United States. They may store or access some information outside Australia, for example to provide support or analyse a security threat. Where a provider offers Australian data storage, we choose it.
How we protect it
Access is limited to the people who need it, and protected with multi-factor authentication, encryption and monitoring, the same controls we put in place for our clients. We keep personal information only as long as we need it to provide our services or to meet legal obligations (for example, business records the tax law requires us to keep for five years). After that, we delete it or de-identify it.
If a data breach is likely to cause you serious harm, we will tell you promptly and, where required, notify the Office of the Australian Information Commissioner.
Automated decisions
We do not use computer programs to make decisions about you that could significantly affect your rights or interests. Our monitoring tools raise alerts, but a person decides what happens next.
Accessing or correcting your information
You can ask to see the personal information we hold about you, or ask us to correct it. There is no charge. We will respond within 30 days. If we cannot give you access, we will explain why.
Questions and complaints
Contact us at info@aits.com.au or (08) 8358 0944. Please put a complaint in writing and tell us what happened. We will acknowledge it within five business days and aim to resolve it within 30 days.
If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
Changes to this policy
We will update this policy when the way we handle personal information changes. The date at the top shows when it was last updated.
